The Operations coordinator is responsible for supporting the operations team in ensuring projects are well organized and executed efficiently and collaborating with external and internal stakeholders to ensure regulatory compliance.
Major Areas of Responsibility:
- Responsible for entering daily field reports into Bid to Win (B2W) Track
- Producing regular project cost reports from B2W Track
- Reviewing and filing completed daily FLHAs
- Assisting in the preparation of documentation for the pre-construction phase, including permit applications, risk assessments, execution plans and schedules
- Completing all pre-field administrative work including BC One Calls, Permit Applications, setting up pre-con meetings, notifying and informing applicable inspectors of upcoming work.
- Communicating project plans, actions, and issues to all key stakeholders
- Drafting and issuing accurate purchase orders
- Overseeing proper organization of project documents
- Supporting the Point repair program, including documentation, dispatching, scheduling, permitting and completion documentation
Operations Coordination Duties:
- Assisting in project planning, scheduling, and tracking overall progress
- Coordinating with subcontractors to align with project timelines
- Collaborating with operations team to define project scope and objectives
- Supporting Project Managers in compiling information as requested
- Maintaining an active vender list and assisting in procurement of suppliers
- Vendor management- ensuring WorkSafe clearance letters, GLI and other contractor documentation are up-to-date.
- Assisting the operations team in maintaining high standards of quality and safety throughout the project lifecycle
- Creating TMPs for upcoming projects, as required
- Answering main phone line and directing calls internally, as required
Scheduling and Dispatch Duties:
- Assisting Superintendents in creating daily and weekly crew and equipment schedules
- Publishing daily and weekly crew schedule to internal teams
- Informing operations team of any changes to permit status, delays, important impacts to schedule.
Reporting and Communication Duties:
- Providing regular updates to senior management on project status, challenges, and mitigation strategies
- Serving as a reliable point of contact for project-related communication and documentation
Health and Safety Duties:
- Ensures all Health and Safety procedures and regulations are followed in compliance with WorkSafe BC standards and Berto Health and Safety manual
*Note: The Operations Coordinator may be assigned additional duties as required to meet project or company needs.
Job Requirements:
- Certificate or diploma in Project Management or Construction Management, an asset
- Proficiency in MS Office, particularly in Excel is required
- Minimum of 1+ years’ experience in office administrative within the civil construction industry
- Ability to maintain a high level of confidentiality
Required Knowledge, Skills and Abilities:
- Strong understanding of civil engineering principles, construction methods, and materials
- Proficiency or working knowledge of productivity and project management software tools required
- Familiarity with B2W and Buildertrend (or equivalent) project management software an asset
- Experience with Inviron Traffic Management System an asset
- Some knowledge of construction operations and equipment an asset
- Strong organizational, analytical and time management skills
- Strong attention to detail and demonstrated problem-solving and analytical skills
- Self-motivated and a strong team player
- Excellent communication, negotiation and interpersonal skills
- Team-oriented with a proactive and solutions-driven mindset
- Ability to work independently with minimal supervision
Physical Demands:
- The Operations Coordinator is required to sit, along with view computer monitors for prolonged periods of time.
- Occasional site visits requiring PPE, including steel toe boots.
